Administrative Coordinator
GABRIOLA HEALTH CARE FOUNDATION


Are you a highly organized, tech-savvy and experienced office whiz?

The Gabriola Health Care Foundation (GHCF) is looking for a part-time Administrative Coordinator to provide superior clerical and organizational services to a dynamic not-for-profit that’s dedicated to improving primary health care for everyone in our island community.

The ideal candidate is a collegial self-starter with skills and experience in a wide variety of office-support tasks, including Microsoft Office suite and other programs and apps for managing documents, processes and data. Experience with a not-for-profit organization would be an asset.

Key responsibilities include:
• Providing administrative and clerical support to the GHCF’s Board of Directors.
• Performing writing and word-processing tasks such as the creation of letters, agendas, meeting minutes, reports and manuals, in accordance with GHCF’s style guide and standards.
• Developing processes to improve the efficiency and effectiveness of organizational activities, including the managing, retrieval and storage of files and documents.
• Arranging and providing support services for meetings, presentations and special events.
• Responsible for general administrative duties such as filing, photocopying, emailing board members, arranging couriers and central archiving of files.
• Managing email and contact lists.
• Assisting in the development of service contracts and/or agreements, where necessary.
• Compile and prepare PowerPoint presentations from various board members in preparation for meetings and/or reports.

Qualifications
• Previous administrative and clerical experience, ideally within a not-for-profit organization.
• Excellent organizational and process-development skills, and an ability to multi-task.
• Advanced skills and experience with MS Office suite (e.g., Word, Excel, OneDrive, Teams and PowerPoint).
• Experience with Wordpress or other CMS platform an asset.
• Experience with marketing-automation tools such as MailerLite and Mailchimp an asset.
• Excellent written and verbal communication skills, including proofreading and editorial skills.
• Ability to work independently and as a member of a team.
• Knowledge of local health and social services organizations an asset.
• Bookkeeping and accounting experience an asset.

About the Foundation
 
The role of the Gabriola Health Care Foundation is to help improve the primary health-care services provided to residents of and visitors to our island community. We do this by helping to identify and address local health-care needs.

The Foundation’s key functions include:
• Owning, operating and maintaining the Gabriola Community Health Care Centre.
• Providing support to the Gabriola Medical Clinic, which is a tenant with the Gabriola Community Health Care Centre.
• Assisting the Gabriola Medical Clinic in the recruitment and retention of family physicians and other health-care providers.
• Providing leased space within the Gabriola Community Health Care Centre to other health-care related providers.
• Working alone or in partnership with qualified donees (as defined in the Income Tax Act, Canada) or with any Canadian government body, to help develop and/or deliver health-care programs that help address the community’s health-care needs.
• Providing medical facilities and/or medical equipment to be used for the benefit of residents of and visitors to Gabriola Island.
Gifting funds to qualified donees that are working to help meet those needs.
